Job Description

Job Summary:

The Benefits Counselor is responsible for managing the administration or orientation, benefits, and repatriation for all personnel affiliated with Northwestern University in Qatar.

Please note: This is an overseas position in Qatar, Middle East.  All final candidates will undergo a comprehensive background check.

Specific Responsibilities:

  • Manage and assist all employees with all Benefits.  Liaison between Northwestern University Evanston Benefits Department and NU-Q campus employees for benefits implementation and information dissemination. Mediate between benefits providers and employees’ benefits-related questions.  Direct preparation and distribution of written and verbal information to inform employees of benefits, compensation and personnel policies.
  • Back up to Assistant Director for Qatar Payroll and Bi-weekly Payroll
  • Manage all of the pre-employment or post-arrival orientation of new hires. On-boarding and Off-boarding departmental management. Facilitate the new employee’s entry into the organization, as well as provide general information.
  • Designer and webmaster of NU-Q intranet (SharePoint) for HR Department.  Prepare HR user friendly processes for employees and publish on HR SharePoint including building extensive document library.
  • Instruct and assist employees on FASIS and KRONOS.  Prepare step by step guides for Internal and External Processes.
  • Maintain an accurate and up to date orientation guide and work on continuously improving current orientation practices.
  • Manage PwC scheduling and liaise with PwC and employees.
  • Oversee and assist in the placement of employee’s children in private schools.  Point person for schools until employee arrives in country.
  • Represents NU-Q at various meetings and events and other duties as assigned

Minimum Qualifications:

  • Bachelor’s degree or equivalent combination of training and experience
  • Three or more years of related experience
  • Extensive knowledge of US and Qatari culture and benefits

Minimum Competencies: (Skills, knowledge, and abilities.)

  • Excellent verbal and written communication skills;
  • Organizational and planning skills, including ability to prioritize work, handle multiple tasks simultaneously, set goals and enforce deadlines, while maintaining flexibility to reassess and prioritize goals;
  • Ability to function competently in a team environment;
  • Ability to take initiative, reasoning and problem solving skills;
  • Ability to interact effectively with NU-Q campus communities including Qatar Foundation and external customers in a multi-cultural setting.

Preferred Qualifications:

  • Master’s degree or equivalent combination of training and experience
  • Orientation and benefit experience in an expatriate business setting
  • International expatriate experience
  • Existing State of Qatar resident

The Accountant supports the University’s accounting function within the Financial Operations side of B&F, by applying established policies & procedures. Responsibilities for this role are concentrated around the transactional areas of running NU-Q comprised of routine work that involves core accounting skills, reconciliations, some grant accounting, and application of industry and professional standards, university policy and procedure, federal/country laws and other regulations.  The position can serve as a resource for to the University community (e.g., electronic, phone, in-person inquiries) regarding appropriate transaction processing and will provide outstanding customer service to internal customers and partners of the University – home campus and sponsor.  This appointee holds a key support role in the annual external audit and during internal audits. Provides administrative &/or clerical support.

Objective of work is accounting in nature – the system of measuring, recording, preparing, summarizing, and interpreting business and financial transactions and reporting results.

  • Performs QF capital reconciliations and disposals

Transactions:

  • Enters individual &/or summary of transactions into journals &/or general ledger or other NU enterprise system.
  • Analyzes and classifies transactions in accordance with established chart or coding of accounts; creates new accounts; prepares, processes, reconciles & provides receipts (as appropriate) for transactions.
  • Troubleshoots problems; performs vendor/account research as needed; obtains additional information from or provides instruction & guidance for stakeholders to Assistant Director.
  • Maintains Chart of Account lists.
  • Controls account availability for all chart strings.
  • Reviews status of transactions and processes; troubleshoots issues as needed.
  • Reviews and approves internal customer expense reports against budget and approved policies.
  • Gathers and enters special monthly/quarterly/annual journals related to various closing activities

Grants &/or Awards:

  • Works with Dept &/or Research Administrator regarding financial grants management issues as may be required

Administration:

  • May process & present data & information through the application of database, graphic & spreadsheet software.
  • May obtains data by downloading from enterprise systems; develops and runs queries.
  • Identifies sources for data & information to be used & may complete special financial projects as needed
  • Performs general office support activities, as needed

Miscellaneous

  • Performs other duties as assigned.

Minimum Qualifications:

  • Bachelor’s Degree in Accounting, Business Administration, Finance or related field; OR 3-4 years financial administration work experience; OR equivalent combination education and experience where similar knowledge, skills, and abilities may be acquired.
  • 3-4 years financial, budgeting &/or preparing account reconciliations or financial statements along with financial analysis experience.

Minimum Competencies: (Skills, knowledge, and abilities.)

  • Proficient in MS Office applications (Excel) and accounting software/ERPs and experience working in a network environment with an integrated database.
  • Strong conceptual understanding of accounting theory and financial systems.
  • Proven ability to understand and build account reconciliations and analyses
  • Ability to communicate effectively and professionally with internal and external contacts at all levels.
  • Ability to understand financial transaction flow
  • Demonstrated attention to detail.

Preferred Qualifications:

  • Higher-education experience in auditing and/or accounting
  • Knowledge of Quick Books beneficial
  • CPA candidate preferred

  • Experience with People Soft (Oracle) and Cognos reporting.
  • Experience in complex account reconciliations
  • Excellent Excel skills and an ability to utilize advanced functions within excel to perform complex data analysis and reconciliations.  Knowledge of advanced formulas and macros a plus.

Job Summary:

The Student Engagement Coordinator will manage the distribution of student centered communications, departmental events in support of NU-Q students, and serve as the primary point of contact for NU-Q’s international students. Through communication efforts and direct student engagement, this individual will support the dissemination of information, build community through social media, and mentor students to promote an active student life community.

Specific Responsibilities:

  • Manage student-oriented communication strategies such as development of email content, social media, newsletters, and other announcements. Includes analyzing analytics to improve the dissemination of information and engagement with student stakeholders.
  • Serve as the primary point of contact for NU-Q international students including support programs, serving as the QF Housing liaison, and support of visa and RP processes.
  • Oversee large scale Student Affairs events, including marketing campaigns, submission portals, organizing planning committees, and engaging external stakeholders.
  • Manage NU-Q athletics, including coordination with Qatar Foundation and branch campuses, to promote engagement and student support.
  • Shared guidance of student clubs and organizations through coaching and mentoring student leaders.
  • Ownership of the student affairs SharePoint site content, including events calendar, digital assets, and photo library
  • Serve as the NU-Q liaison to the Qatar Chapter of the NU alumni association, including coordination with the alumni board, managing meeting logistics, and assisting with the relationship with Evanston’s alumni relations office
  • Support for orientation initiatives including: oversight of the Media Specialists, management of international student orientation, and orientation for Semester in Qatar students.

Job Summary:

The Associate Dean for Administration and Chief Operating Officer reports directly to the Dean and Chief Executive Officer and oversees operational functions of NU-Q. The role works collaboratively with the Dean and CEO, Senior Associate Dean for Academic Affairs, and other members of the Senior Leadership Council in developing and implementing overall institutional and operational strategies. The ADA/COO provides the leadership and management necessary to assure that NU-Q has proper operational controls, administrative and reporting procedures, and people systems in place to assure its growth and development. Direct, shared, and dotted-line oversight, as determined by the Dean and CEO, includes Budget and Finance, Facilities, Information Technology, Production, HSSE (emergency planning), Human Resources, and others as appropriate. The ADA/COO maintains close relationships with home campus leadership/operational departments and liaises with Education City schools and Qatar Foundation. A member of the senior leadership team, the ADA/COO represents the Dean on operational issues, as appropriate.

Specific Responsibilities:

  • Build a strong and seamless strategic partnership and working relationship with the Dean and CEO and other members of the Senior Leadership Council.
  • Serve on the Dean’s Senior Leadership Council.
  • Collaborate with the Senior Associate Dean and Chief Academic Officer on the seamless integration of all operational units into NU-Q’s core academic mission.
  • Oversee, integrate, and manage relationships between operational directors, and lead continued integration of all operational aspects at a time of institutional consolidation and maturity, in support of our core academic mission.
  • Lead proactively on budget, facilities, and operational planning.
  • Oversee and continue developing all operational policies, procedures, and processes.
  • Lead, collaboratively with the Chief of Staff, on staff recruitment and retention, professional development, performance assessment and improvement, community building, and overall excellence.
  • Oversee crisis management and compliance efforts.

Minimum Qualifications:

  • A bachelor’s degree or the equivalent combination of education, training, and experience from which comparable skills can be acquired.
  • A minimum of five to eight years of progressively responsible administrative experience including supervising staff at a peer academic institution.
  • Experience working in diverse and globally-oriented educational and/or research institutions.
  • Ability to inspire confidence, offer sound judgment, and communicate well.
