Job Description

JOB OBJECTIVE
To provide administrative support in the day to day sales to ensure that related activities are operating smoothly and in alignment with WOQOD standards and guidelines.
3. KEY ACCOUNTABILITIES
Description
Administration
 Assist the Sales Supervisor in day to day administrative work including all paperwork activities to ensure delivery of the products as per the ordered quantity and quality and in adherence with the delivery schedule to ensure client satisfaction.
• Initiate, follow up, and record all the paperwork related to sales and product delivery.
• Provide logistics support including office supplies and related materials to all the sites and place order appropriately from the proper ordering channel.
• All other activities as assigned by Supervisor.
Continuous Improvement
• Motivate subordinates and contribute to the identification of opportunities for continuous improvement of systems, processes and practices taking into account ‘international leading practice’, improvement of business processes, cost reduction and productivity improvement.
Policies, Systems, Processes  & Procedures
• Implement departmental policies, systems and procedure so that all relevant procedural/legislative requirements are fulfilled while delivering a quality, cost-effective service.
Quality, Health, Safety, & Environment
• Ensure compliance to all relevant quality, health, safety and environmental management procedures and controls within a defined area of activity to guarantee employee safety, compliance, delivery of high quality products/service and a responsible environmental attitude.
Statement and Reports
• Supervise and provide inputs in the preparation of timely and accurate departmental statements and reports to business coordination unit to meet WOQOD’s and department requirements, policies and standards.
Related Assignments
• Perform other related duties or assignments as directed.
4. COMMUNICATIONS& WORKING RELATIONSHIPS
Internal:
• All Departments, if required
External:
• Customers if required
• Suppliers and vendors
5. BOUNDARIES & DECISION MAKING AUTHORITY
• Key decisions having significant impact on the Sales are referred to the Sales Supervisor for approval before implementation.

Requirements

6. QUALIFICATIONS, EXPERIENCE & SKILLS
Minimum Qualifications:
• Diploma or equivalent
Minimum Experience:
• 2-3 years’ experience in any related field preferably in a similar industry.
Job Specific Skills:
• Time management skills.
• Good communication skills.
• Good research skills.
• Analytical skills.
• Planning and organization skills.
• Attention to details.
• Fluency in English and/ or Arabic.
• Advanced MS Office skills.
