Head of Operations

  • Proposes, implement, and periodically reports on General Collection Development Plan, KPIs, and other strategic documents for its Section.
  • Works closely with heads of other Sections.
  • Drafts and proposes relevant policies and procedures.
  • Works with direct reports to identify and establish medium to short term strategic priorities and targets, in line with GC’s policies and guidelines and ensures their successful execution.
  • Think creatively and ethically to maximize and manage financial and human resources to make the best use of physical and intellectual assets.
  • Develop, implement and manage budgets, including adjustments based on expenditures and variances as they occur.
  • Supervise and coordinate facilities, planning, maintenance, improvement, and expansions; as well as the security process appropriate to the Collection and other assets that must be preserved.
  • Plans execute and reports on the daily operation of the general collection store by ordering/purchasing all office supplies and equipment; by coordinating telephone, copier, and computer support by submitting work orders for necessary maintenance and keeping records of all maintenance; by arranging for both regular and special custodial support.
  • Supervise and coordinate periodic financial, operating, and audit reports as well as the management of all financial functions.
  • Creates, monitors, and supervises carrier development plans, internship opportunities, training, and mentorships for direct reports.
  • Coordinates, implements, reports, and in collaboration with Conservation and Collections Management section prepares emergency, evacuation, disaster, and related plans concerning the safety of the Collection.
  • Approves all works and activities to be carried in the Operations Section.
  • Supervises, and mentors’ staff, directing the activities of the teams under her/his supervision to fulfill the Section’s strategic objectives.
  • Collaborate with the marketing department to highlight special events, exhibits, and individual programs.
  • Supervise and coordinate facilities, planning, maintenance, improvement, and expansions; as well as the security process appropriate to the Collection and other assets that must be preserved.
  • Ensure that store and exhibition areas are safe for visitors, staff, and volunteers, undertaking daily, weekly and monthly health and safety activities.
  • Coordinate with relevant departments and organize maintenance checks of fire, intruder, electrical and plumbing systems, as well as any other Museum maintenance required, to ensure Museum is safe and well-maintained.
  • Respond to health and safety issues as they arise.
  • Ensure adequate maintenance of IT and related systems.
  • Ensure adequate maintenance of security systems.
  • Ensure adequate maintenance of the information and filing systems.
  • Develops and improves procedures and policies for its Section.
  • Provides regular report to Director.
  • Seek ways to improve processes and quality of work in its Section.
  • Strives to provide uninterrupted support to other sections, departments, and entities.
  • Works directly with other heads in QM to speed up processes and increase efficiency.
  • Manages relations with 3rd parties, suppliers, and outsourced service providers to maximize the potential for QM.
  • Attends conferences, meetings, and seminars to remain abreast of industry trends and the latest development.
  • Motivates staff and empowers direct reports by providing the necessary tools and support required to meet Department goals.
  • Establishes clear direction, prioritizes tasks, assigns and delegates responsibility; monitors individual performance, provides regular feedback, and takes prompt action.
  • Builds opportunities for staff to suggest, participate in and contribute to improvement, innovation, and knowledge-sharing initiatives.
  • Provides guidance and ensures staff comply with QM’s policies, processes, practices, and systems.
  • Implements Qatarisation programs to enable QM to attract local talent and to develop talent over time to take on meaningful roles within QM.
Qualifications/Requirements: 
  • Bachelor’s degree in Business Administration or related field; Master’s degree preferred.
  • Minimum 8 years working within a collection, preferably museum or gallery, or university or foundation, related explicitly to the above responsibilities.
  • Knowledge of contemporary practices would be strongly beneficial.
  • Thorough knowledge of museum operations, budgeting, and procurement.
  • Basic knowledge of collection care and management.
  • Basic knowledge of CMS.
  • Demonstrates ability to coordinate and work with teams on complex projects.
  • Ability to work effectively under pressure and in a self-motivated and dynamic way to meet deadlines, enjoying the freedom to work on one’s own simultaneously as follow direction.
  • Strong organizational skills are essential, with the ability to prioritize and organize complex and multiple activities.
  • Superb writing skills with precise attention to detail.
  • The ideal candidate will be very personable and engaging in social settings and experience with public speaking.
  • Strong computer and software skills essential, preferably within the PC environment (Office 365).

  • Operating machinery such as scissor lift, forklift and pallet jacks as requested and necessary

Job Description

Role Purpose:  Works within Operations Division in close association with Programs & Exhibitions Division staff in order to provide relevant expertise, including installation and deinstallation of gallery exhibitions at the Fire Station, and responsible for day-to-day maintenance of gallery lighting, temperatures.

Duties and responsibilities:
•    Ensures the maintenance of gallery exhibitions.
•    responsible for the transport, handling and installation and hanging artworks for exhibitions and ensuring safe removal and installation of artworks on display.
•    Responsible for carrying out condition reports for artworks, assessing for damages.
•    Liaise with Exhibitions Coordinator and Studios & Galleries Coordinator for artworks leaving or returning to the Fire Station.
•    Oversees and manages the lighting programming within the galleries. Ensure lighting maintenance is completed and records maintained.
•    Responsible for identifying burnt out globes and informing Facilities in a timely manner.
•    Support the Fabrication Lab Coordinator for installing vinyl wall text and label.
•    Responsible for maintenance of the gallery wall text and labels.
•    Responsible for carrying artworks and objects for the Fire Station general activities.
•    Assist the artist in residence and Fire Station staff in transporting the artworks and objects to & from the studios and the Fire Station Facilities (fabrication lab, wood shop, and general workshop spaces) & galleries.
•    Responsible for general watch over all aspects of the Fire Station galleries.

  • 1 to 4 years’ experience

Preventive Conservator Key Accountabilities: 

  • Work on long term preservation and care of QM objects – collections under Acquisitions and Stores Department:
  • Assist in the movement and arrangement of the collection to new storage building.
  • Help in developing and implementing Integrated Pest Management Guidelines and appropriate preventive conservation program for the Department.
  • Support developing and delivering regular staff training in the context of the Collection Care.
  • Monitor environment condition in the stores and to ensure maintaining appropriate climatic conditions.
  • Conduct monitoring of pest activities in the studio and the store in compliance with the Department Integrated Pest Management Guidelines and advise on appropriate infestation treatments on objects which have concerns or active infestation.
  • Advise on Archival storage and mounting materials for safe uses as necessary.
  • Record all conservation activities undertaken in accordance with QM documentation system.

Preventive Conservator Qualifications/Requirements: 

  • Strong research ability (scientific, academic, etc.) issues that relate to preventive conservation.
  • Specific knowledge and expertise in the conservation
  • Excellent knowledge and understanding of museum conservation ethics and best practices
  • Practical and theoretical knowledge in preventive conservation.
