Morgan Stanley is looking for an Executive Assistant to join the IBD Support Services Team, to provide efficient and effective executive support as well as assisting the wider team with key administrative / operational support within the department.
Administrative Responsibilities
Control of business schedule and diary management for Executive and Managing Directors in the team and arrange internal and external meetings as required.
Act as a ‘gatekeeper’ for diary and pro-actively ensure diaries do not have clashes, use initiative to find resolutions prioritising time sensitive tasks and meetings.
Provide full telephone coverage including responding to and dealing with enquiries and fielding calls.
Co-ordinate and book all travel arrangements and manage expense reimbursement.
Point of contact for all administrative queries.
Executive responsibilities
Support of the local Chief Risk Officer and Risk Department Heads to ensure the Risk Function is run in an efficient and effective manner.
Support development of materials for business plans, off-sites, townhalls, Board and Senior Management updates as required.
Preparation of external correspondence with excellent attention to detail, including but not limited to, the preparation and review of PowerPoint presentations and drafting formal correspondence.
Skills required
Proficient language skills in both Arabic and English
Good academic background, including a degree or equivalent.
Professional experience in a banking, consulting or legal environment.
An experienced, confident, proactive, friendly ‘people oriented’ personality required with an ability to liaise with people at all levels to achieve work goals
Ability to take ownership of the role and who enjoys being the lynchpin to everything running smoothly
Proactive and willing attitude to getting involved at all levels as you will be the “go to person” when the team are experiencing issues
Ability to remain calm and organized under pressure and deal with last minute changes to schedules effectively and efficiently
Ability to use own initiative and judgement while maintaining strong attention to detail
Excellent command of German in formal communications and strong command of English, both verbal and written
Strong command of Word / PowerPoint / Excel / Outlook / Adobe and all other Microsoft applications
