JOB SUMMARY

The Senior Administrative Coordinator is responsible for planning, organizing, supporting and controlling the activities involving the management of the HR immigration program for our clients.

JOB DESCRIPTION

Prepare all application forms required by the government to complete the immigration process for our clients. Collate and collect all documents required to complete the submission of the application forms. Coordinate and implement all steps required to update the online case management system (GVS) including:

  • Create client case records.
  • Accurately track the client’s immigration processes and record and update GVS accordingly.
  • Accurately enter client data (including information about the company, employees, and family members’) in GVS.
  • Accurately record and track the expiration dates of all documents (visa, EID, passports, etc.)
  • Scan and upload all client documents in GVS.

Coordinate the Collection and delivery of documents from and to client offices and Government entities. Prepare task sheets to include all instructions provided by the case team to accomplish the task accurately and prepare all the documents referred to in the task sheet. Handover the task sheet and documents to the assigned Immigration Coordinator, and then receive from the Immigration Coordinator completed task receipts, all relevant approved documents, and all other original support documents, and hand them over to the respective case team Assist consultants with research in relation to immigration processes. Generate client reports from GVS including tailored reports specifically designed to meet client requirements. Assist visitors to the office and respond to any walk in queries. Answer incoming phone calls and direct them to the respective team member. Receive, sort, and direct courier packages and/or fax correspondences to the respective team member, and maintain correspondence logging on the system. Schedule and maintain meeting room bookings. Monitor office cleaning and maintenance staff to ensure proper office upkeep. Order and maintain office stationaries for DIC and DIFC offices. Provide Administrative and secretarial support to the Practice Leader as required. Arrange travel and accommodation bookings. Others as required.

JOB SPECIFICATIONS

Minimum Education Level

  • Bachelor’s degree

Background Knowledge and Experience

  • Fluency in written and spoken English and Arabic.
  • Knowledge of Word, Excel and Access, or similar software’s.
  • Operationally aware is essential.
  • Excellent communication and presentation skills.
  • Excellent organization and coordination skills.
  • High degree of focus on Quality.
  • Able to work in a discreet and sensitive manner.
  • Able to effectively manage multiple, competing priorities
  • Able to be self-managed and proactively seek out work.
  • Detail-oriented and professional demeanor.
  • Previous knowledge of Qatar Immigration regulations is preferable.
  • Prior experience of supporting HR immigration function at a multinational or reputable local company in Qatar and / or Middle East is preferable.

Job Description

About the role:
The Migration Specialist provides expert advice on immigration processes and assists clients in completion of all immigration formalities.

Other key responsibilities will include:

  •    Develop and maintain strong relationship with the government officials and always be updated on new procedural changes and regulatory positions.
  •     Demonstrable and proven professional demeanor and service excellence.
  •     Provide specialist and expert advice on complex matters in different jurisdictions (mainland, free zones) and government authorities.
  •     Assist clients in completion of all formalities in relation to their immigration processes.
  •     Assist with scanning, uploading, printing of documents.
  •     Assist the team with Arabic translation of immigration documents
  •    Assist with various coordination duties such as:
  •    Accompany and walk-through client employees to medical examinations and biometrics when required (VIP, sensitive cases, etc.)
  •     Collection and submission of documents at client offices, coordination with client PROs for submission of applications
  •     Submission and collection of applications at consulates / embassies in Qatar
  •     Attestation of documents at the Ministry of Foreign Affairs, Ministry of Justice and other departments
  •    Apply for new/renew Ministerial resolutions at the Ministry of Commerce and Industry.
  •     Issue New (Commercial registration, trade license, etc.) for new established companies in Qatar
  •     Applying for  Chamber of Commerce of Commerce certificate for clients from the Qatar Chamber of Commerce office.

About you:
To be successful in this role you must have experience of Qatar immigration and Labor matters is essential. Proven experience of working with Officials at the Ministry of Interior, Ministry of Labor and Ministry of Commerce and industry is also essential.

Also required:

•    Excellent administrative skills
•    Good knowledge of Word, Excel and Access, or similar software’s.
•    High degree of focus on quality.
•    Proven problem-solving capabilities.
•    Able to read Arabic and translate immigration documents / forms into English.
•    Arabic speaking skills are essential.
•    Good communication skills and ability to convey detailed immigration process information verbally and in writing.
•    Ability to use office equipment in an efficient and effective manner.
•    Experience of working in a busy corporate environment meeting tight deadlines.

Job Description

The Knowledge Management (KM) Senior Specialist is part of the Knowledge Group, which has global responsibility for keeping clients and staff informed of the changes in the global immigration and mobility landscape and their impact on clients and the firm. The Knowledge Management Senior Specialist supports the country content development and maintenance processes applicable to Fragomen’s Knowledge systems and applications, including the Laws and Processes Library (LPL), the Business Visa Matrix (BVM) and the Knowledge Center (KC).  Geographic focus will be on Middle East, with secondary responsibility for Europe and ROW. The Senior Specialist works with the Regional Knowledge Managers to ensure that all content is appropriate for inclusion in the suite of Knowledge products, is accurate and clear to readers. The Knowledge Management Senior Specialist also works with the larger Knowledge Group to improve content development and maintenance processes and support upgrades and/or improvement projects.

How will you make a difference as a Senior Knowledge Management Specialist at Fragomen?

  • Draft, edit, update and publish content in Fragomen Knowledge systems as changes in regulations, policies and/or practice occur.
  • Work with technologies such as SharePoint, Tableau, and metadata editors, and Fragomen proprietary systems to efficiently update, review and store country information to support the User/Reader experience.
  • Work with worldwide professionals (Fragomen practices and teams, co-counsel firms, and MFNs and clients, as applicable) to clarify the effect of an immigration change on specific Knowledge products and register updates to content as they occur, and per the content maintenance schedule and processes.
  • Conduct regular quality control of products and processes to maintain accuracy of content and efficiency of processes.
  • Work with the larger Knowledge Group on content updates, system upgrades, and client research projects, as required, especially with data collection from Subject Matter Experts.

Let’s talk if you have the following qualifications and experience:

  • Bachelor’s degree
  • 3+ years’ experience in content management or equivalent
  • 3+ years’ experience in immigration and mobility preferred
  • Strong written and oral communication skills and able to convey complex immigration concepts with clarity
  • Experience working with Microsoft O365 products, including SharePoint. Knowledge of Tableau a plus.
  • Must have strong organization skills to efficiently manage priorities and quickly respond to urgent requests
  • Demonstrated experience working in a multi-cultural setting
  • Strong analytical, critical thinking, and problem-solving skills to identify, characterize, and solve complex process issues
  • Ability to categorize and analyze large scale complex data sets
