About the Department of Foreign Affairs and Trade

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program, and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional, and bilateral interests.

About the Position

The Passports and Notarial Assistant provides a range of services and advice to Australian citizens living and travelling in Qatar.

The key responsibilities of the position include, but are not limited to:

  • Provide a full range of passport services, including client interviews to Australian citizens in accordance with the Australian Passport Act, and processing/issuing Emergency Passports.
  • Provide a range of notarial acts and services and respond to routine passport and notarial enquiries from the public.
  • Assist with the provision of general consular services and act as first point of contact for Australian citizens seeking consular advice.
  • Maintain consular and passport records and statistics and undertake daily revenue reconciliations as required.
  • Assist with the preparation of the Embassy’s consular and emergency planning function.
  • Liaise with key stakeholders, including the Australian Passports Office to ensure effective provision of passport and consular services for Australian citizens
  • Maintain the calendar for post’s notarial appointment system and manage public holiday notifications

Qualifications/Experience

  • Demonstrated knowledge or previous experience in delivering high quality client services.
  • Strong capacity to exercise discretion and judgment.
  • Ability to prioritise and meet tight deadlines.
  • Demonstrated written and oral communication skills in both English and Arabic preferred.
  • Proficiency in Microsoft Office programs, including Outlook and experience using financial management systems.

About the Position

The position is based at the Australian Embassy in Doha and will support the Australia’s aid program in Afghanistan. The successful candidate will deliver high level research and analysis of the humanitarian and development situation in Afghanistan; prepare reports; liaise with relevant partners; support program management; and represent the Mission as required.

The key responsibilities of the position include, but are not limited to:

  • Research, analyse and prepare reports regarding humanitarian assessments and analysis of the situation and developments in Afghanistan.
  • Develop and maintain strong working relationships with development and humanitarian partners, civil society, women’s organisations, other missions to Afghanistan based in Doha, think tanks, commentators, and the private sector.
  • Represent the work unit at meetings, events, conferences, and seminars, support the advocacy, negotiation and/or representation of the department; and report on outcomes as required.
  • Contribute to the design, implementation and management of Australia’s humanitarian and development programs in Afghanistan, with a strong focus on women and girls.
  • Contribute to ensuring that Australian humanitarian and development operations in Afghanistan are delivered in an efficient and ethical manner, in accordance with Australian requirements, and as defined in program objectives.
  • Contribute to ensure Australia’s programs are informed by cultural, social, political and economic differences in the local operating environment.
  • Contribute to monitoring, evaluation and results reporting as required.
  • Contribute to engagement with other Australian government teams in Qatar, Australia and at embassies globally.
  • Provide back-up support for policy officer position.
  • Other duties as required.

QUALIFICATIONS/EXPERIENCE

  • Experience managing development and humanitarian programs essential.
  • Experience working on Afghanistan issues or programs desirable.
  • Experience working on gender-sensitive and/or conflict-sensitive programs desirable.
  • Experience working with NGO and/or UN partners, the World Bank, pooled funding mechanisms, or international donors desirable.
  • Relevant tertiary qualifications in development/humanitarian/international relations/politics desirable.
  • Fluent English written and spoken communication skills essential.
  • Fluent Dari and/or Pashto reading, writing and English translation skills desirable.
  • Demonstrated research and analysis skills and experience.
  • Understanding or willingness to learn about Australian Government development and foreign policy priorities.
  • Sound judgement, high-level of initiative and strong interpersonal skills.
  • Ability to work in a small team and perform in a multi-cultural work environment.

Job Description

This position located at the Austrade office, Australian High Commission in Singapore is a key business development role driving trade and investment opportunities across the priority sectors of agribusiness, food and beverage including related digital technologies.

Duties include:

  • Provide services to Australian companies looking to expand to Singapore, including providing  advice on market conditions, market entry strategies, potential partners and the government  regulatory environment in Singapore; conducting market research, coordinating visit programs;  and providing in-market support.
  • Build and maintain networks with key business contacts, government agencies and other  stakeholders in Singapore.
  • Undertake market research and analysis to identify market trends and existing and emerging  business opportunities for Australian companies in Singapore across a range of industry sector  with particular focus on food, beverage and agribusiness.
